Documentation

n8n-nodes-printerflo

This is an n8n community node package for PrinterFlo, the shop management app for sign and print shops (quotes, orders, proofs, production board, invoices and payments).

It adds two nodes:

  • PrinterFlo: create quotes, orders and customers, attach artwork to an order, and read quotes, orders, customers, invoices and payments.
  • PrinterFlo Trigger: start a workflow when a quote or order is created, an order changes status, a customer is added, an invoice is created or a payment is recorded.

n8n is a fair-code licensed workflow automation platform.

Installation

Follow the installation guide in the n8n community nodes documentation. The package name is n8n-nodes-printerflo.

Credentials

The nodes use a PrinterFlo API key.

  1. In PrinterFlo, open Settings and expand API & Zapier.
  2. Create a key (for example, name it n8n). Copy it: it's shown once, and it starts with pfl_live_.
  3. In n8n, create a PrinterFlo API credential and paste the key.

Each key belongs to one shop. You can revoke a key in the same place at any time; workflows that use it stop working straight away.

Operations

Resource Operation What it does
Quote Create Creates a quote for the shop to price. The customer is matched by email, or created. Optional line items.
Quote Get Many Lists quotes, newest first. Filters: status, created after, updated after.
Order Create Creates an order that goes straight onto the production board, with optional line items and artwork.
Order Get Many Lists orders, newest first. Filters: status (workflow stage), created after, updated after.
Order Add Artwork Attaches a print file from a URL to an order's line item, optionally already approved (it then skips proofing).
Customer Create Creates a customer. If a customer with the same email exists, that customer is returned instead (existing: true).
Customer Get Many Lists customers, newest first. Filters: exact email, search (name, company or email), created after.
Invoice Get Many Lists invoices, newest first. Filters: status, created after.
Payment Get Many Lists recorded payments, newest first. Filter: recorded after.

Notes:

  • Get Many returns at most 100 records, newest first. PrinterFlo's API has no paging, so use the filters to narrow a list.
  • Line item prices are in your shop's currency (e.g. 12.50). Amounts that PrinterFlo returns are in cents (total_cents: 1250), with the currency in currency.
  • Artwork files must be public HTTPS links to a PDF, PNG, JPG, TIFF, SVG, AI, EPS or PSD file of up to 50 MB.
  • The PrinterFlo node can also be used as a tool by n8n's AI Agent.

Trigger events

Event Fires when
New Quote or Order A quote or order is created, from any source (staff, website designer, quote form, Shopify, API). Optionally only quotes or only orders.
Order Status Changed An order moves to a different workflow stage. Optionally only when it reaches one stage (e.g. complete). The output includes previous_status.
New Customer A customer is added.
New Invoice An invoice is created.
Payment Received A payment is recorded (online, card terminal or manual).

How the trigger works:

  • It polls PrinterFlo on the schedule you set in the node (Poll Times, every minute by default).
  • Nothing that existed before you activate the workflow fires. The first poll only records where to start.
  • Each record fires once. Order Status Changed fires once each time an order reaches a stage other than the last one the trigger saw for it. Edits that don't change the stage don't fire. An order the trigger sees for the first time after activation fires once with its current stage.
  • Fetch Test Event returns the most recent matching record, so you can map fields before any new event happens.

Usage

Some workflows shops build with it:

  • Website or email form → quote: Webhook or Gmail Trigger → PrinterFlo Quote: Create, so every request lands in PrinterFlo for pricing.
  • Order finished → tell the customer: PrinterFlo Trigger Order Status Changed (Status: complete) → send an SMS or email that the job is ready for pickup.
  • Payments into a spreadsheet: PrinterFlo Trigger Payment Received → Google Sheets Append Row.
  • Files from another app into production: your upload app → PrinterFlo Order: Create with line items and artwork URLs marked approved.

The API allows 120 requests per minute per key.

Compatibility

Built with @n8n/node-cli 0.50 and tested on n8n 2.41.
